How to compare the full cost of a retreat
Compare retreat prices on the same basis: original currency, number of people sharing, length of stay and included services. Then add travel and any extras. The lowest headline amount is not necessarily the lowest total cost.
1. Identify the currency before comparing amounts
A dollar sign by itself may not identify the currency. Keep the organizer’s original amount and currency together. If the denomination is unclear, ask the organizer rather than assuming USD or using the destination’s currency.
For different currencies, compare the itinerary first and obtain a current conversion when you make a budget. Record the date and exchange source, allow for payment fees, and retain the original price. Stillwild does not silently convert its directory prices.
2. Match the room and payment basis
Find out whether the price is per person, per room or for the whole program. Next identify occupancy: private room, two sharing or three sharing. Ask whether the advertised rate requires you to bring roommates, whether the organizer matches solo travelers, and what happens if the room is not filled.
A deposit is not the full price. Note the remaining balance, payment dates and any separate accommodation, teaching or service charges. Do not assume “from” prices describe the room you want.
3. Count what is actually included
Compare accommodation nights, taught sessions and meals individually. “Daily breakfast” does not cover lunch or dinner. “Three dinners” does not cover every evening of a week-long stay. Read any dietary or meal-plan conditions on the organizer’s page.
Separate included excursions from optional outings. Check equipment, entry fees, transport, treatments and drinks. If an item is not mentioned, label it “confirm with organizer”; absence from a short summary is not proof that it is included or excluded.
4. Add the costs of getting there
Budget for your transport to the meeting point, any onward transfers and nights needed around the retreat dates. Ask which airport or station a transfer serves, whether it operates only in a fixed arrival window, and what a missed transfer would cost.
Keep these personal travel costs separate from the advertised retreat rate. Two travelers attending the same program can have different total budgets because they start in different places or choose different rooms.
A comparison checklist you can reuse
- Exact departure dates and accommodation nights.
- Original currency and full program price, not only the deposit.
- Per-person or per-room basis, occupancy and single supplements.
- Included meals, sessions, equipment and excursions.
- Flights, transfers, taxes, fees and optional extras to confirm.
- Balance deadlines and the organizer’s cancellation terms.
- The date the quoted information was checked.
5. Confirm the terms before paying
Ask the organizer for the final price for your chosen room and departure. Read its cancellation, change and refund terms, including what happens if the organizer changes the program. A directory listing is not a reservation or proof of current availability.
